The Administrative Assistant will provide coverage for 1.0 FTE Physicians as follows:
Responsibilities
Answer phones for physician in a pleasant/responsive matter.
Schedule appointments using IDX, appropriately linking laboratory appointments and ensure that all demographic and insurance information is captured. Schedule office based procedure including obtaining prior auth.
Verify patient insurance at time of making appointment using IDX-Interactive Eligibility. Inform patients if MD is non-par and discuss office fees.
Ensure appropriate patient’s have HMO referral at time of making appointment. Ensure MD’s/technologists complete super bill forms (checking CPT/ICD9-10) and medical notes are dated correctly via EMR. Obtain any missing information from MD.
Confirm appointments on a daily basis and inform patients of past due balances.
Obtain referrals, authorizations and precertifications for all office visits, office procedures, surgeries and outpatient testing, where needed. Schedule ancillary testing as needed.
Coordinate surgical patients; scheduling, obtaining prior authorization from insurance company, coordinate pre-op testing and clearance, work with providers to ensure result verification and communicate instructions and any additional information to the patients and family.
Qualifications
High School Graduate
Minimum of 2 years of related experience
Knowledge of IDX scheduling system preferred
Knowledge of Crown EMR preferred
Possess knowledge of modern office equipment, systems and procedures.
Ability to work independently and takes initiative to improve overall office operations.
