The Administrative Coordinator for facilities will be responsible for supporting the Facility Manager in the day to day operations of the ColumbiaDoctors Midtown facility, (122,000 square feet facility) as well as other ColumbiaDoctors faculty practice locations when needed. The Administrative Coordinator reports directly to the Facility Manager.
Supports the Facility Manager with day-to-day operations of the facility including janitorial, security protocol, Fire-safety, and general maintenance to ensure these are carried out in a manner consistent with ColumbiaDoctors Midtown policies and ownership directives. This includes assisting with the management of contracts and vendors.
Assists with handyman duties including fixing locks, handles, ceiling tile replacement, troubleshooting repairs for minor equipment and water pump issues.
Troubleshoots problems and adjusts temperatures through the building maintenance system for exams, consult, waiting and sub waiting rooms.
Works with and organizes schedule for HVAC maintenance and medical gas maintenance.
Meets with evening supervisor to review and schedule vacation, safety training and work for evening staff.
Helps compile information necessary to ensure all site-specific documentation and reports are completed accurately and on time, including: Material Safety Data Sheets (MSDS),ADA Compliance Log, OSHA Log, Safety Meeting Log, Elevator Logs, Janitorial Log, Purchase Order Log, Vendor Certificates of Insurance, Paid Invoices File, General Files, Contract Files, and other reports and documentation as required.
Proactively inspects the facility, systems, rooms, common areas, etc. and reports back any findings or issues to the Facility Manager.
Maintains emergency oxygen tanks for patients and assists patients with connecting and replacing tanks. Responds and assists in emergency calls bringing oxygen tanks and banyan boxes to locations.
Must be available for overtime, emergency projects and scheduled projects evening and weekends.
3 – 5 years office and facility experience in a healthcare facility preferably
Familiarity with HVAC systems, electrical and plumbing basics desired.
Familiarity with fire safety and emergency action procedures a plus
