Acts as a liaison between the patients/callers and physicians. Maintains and coordinates with other teams the doctors’ master calendar and the day-to-day operations and work flow within the doctors’ office. Coordinates the day to day administrative, and academic activities for the physician as assigned, including but not limited to manuscript and publication preparation, lectures and conferences, educational courses and visitors. Works as part of the orthopaedic support staff team and offers cross-coverage to other staff members as needed.
Answers telephones pleasantly; takes complete and accurate messages; prepares and follows up on messages, inquires and refers callers as appropriate; ensures prompt deliver of messages to physicians and nurses.
Arrange and coordinate meetings.
Ensures physician has all necessary licenses and certification and that they are up-to-date.
Calls in prescriptions and placed referral and radiology orders in CROWN at doctor’s direction following established protocols.
Type routine letters for patients, assists in completion of patient forms. Handles transcription, mails all referring provider and PCP’s correspondence as necessary.
Performs full registration, insurance verification and schedules patient appointments as needed as back-up for appointment scheduling.
Assist visitors and observers including scheduling academic programs, OR observations and social agenda (restaurants, car services, etc).
Scans and indexes patient records into CROWN.
Coordinates travel arrangements, including lodging, visas and passports. Prepares and submits physician’s travel and expense reimbursement forms, with proper back-up documentation; submits for check requests and invoice payments.
High school diploma required/College degree preferred
Minimum one to two years of experience working in a physician practice
Computer literate, with keyboard knowledge of institutional used software packages
Experience in project-orientated position preferred
Knowledge of managed care and insurance plans
Ability to work with patients and make them feel comfortable
Ability to independently compose short letters
Neat, professional appearance

Proficient in Word, Excel, PowerPoint, Microsoft Office and Windows spreadsheet
