The receptionist is responsible for greeting/acknowledging all patients, scheduling appointments, answering phones, scanning, collection of payments, dissemination of appropriate information, and all other duties assigned by the Practice Manager. The receptionist will ensure that all patients, visitors, guests and co-workers receive personalized, prompt attention and are treated with receptiveness, dignity and respect.
Utilize all available tools (i.e. institution directories) in order to help patients navigate their visit.
Following appropriate training, make sure to understand and utilize systems (IDX Web, Eligibility and CROWN) appropriately during check in and check out process.
Confirm that patients have all appropriate documentation for their visit…i.e. insurance card, referrals, authorizations and that all initial questionnaires and paper work are completed and signed.
Scan and index paperwork into appropriate folders.
Prepare daily payment logs and close out/settle credit card machine.
Work closely with the practice staff in order to assure that the patient is offered a smooth, informational visit flow. Take the initiative to keep patients informed of any delays in the course of their visit and provide them with the most accurate estimate of when they will be seen.
High School graduate or equivalent with a minimum of 1-2 years’ experience in a health care environment.
Knowledge of IDX and electronic medical records a plus.
Knowledge of modern office equipment, systems and procedures.
Bilingual English/Spanish a plus, but not required.
Ability to work independently and takes initiative to improve overall office operations.
Must be able to handle in a professional and appropriate manner, heavy and diverse work load in a busy and pressured outpatient environment.
Must have excellent communication skills, organizational skills, high energy level, highly developed interpersonal skills, and ability to actively handle acutely ill outpatients who are in stressful situations.
