The Division of Gynecologic Specialty Surgery in the Department of Obstetrics and Gynecology at Columbia University Medical Center is comprised of 7 physicians, 3 fellows, and 3 nurse practitioners practicing in two unique sections: Minimally Invasive Gynecologic Surgery and Female Pelvic Medicine & Reconstructive Surgery (Urogynecology). We provide comprehensive gynecologic care, exploring different diagnostic and treatment options to treat and manage gynecologic and urogynecologic problems, from fibroids to incontinence. Our providers work with each patient to design an individualized care management plan, from routine testing to the most advanced diagnosis and treatment for women of all ages. We are seeking an enthusiastic Medical Secretary to join our dynamic team in providing outstanding service for our patients. This position is hired through the 61st Street Service Corporation.
In this role, the successful candidate will be responsible for providing administrative support for multiple care providers, including coordinating daily patient schedules, scheduling surgical cases, catering to patient administrative needs, triaging patient phone calls and messages, and streamlining the patient’s experience before, during, and after appointments, procedures and surgical cases.
Document and track patient communications in the EMR system.
Accurately register and schedule patients for appointments, record and verify their demographic and insurance data, and update patient data as necessary. Verify patient’s insurance using the MPV system.
Coordinate the scheduling of ancillary tests, office procedures, and surgeries.
Maintain physician’s schedule and surgical schedule according to office protocol and operating room policy and procedure; ensure optimal utilization of surgical resources.
Schedule surgeries and pre-operative testing in accordance with departmental, OR, and hospital policies, ensuring all information is accurate, physician preference are noted, and within timeframe of patient pre-surgical testing.
Provide support and necessary information to physician regarding scheduling and patient information.
Provide logistical support for patients who are scheduled for surgeries and involved in clinical studies.
Ensure all pre-operative paperwork is complete, scanned, and forwarded to the appropriate areas.
High School Diploma required. Bachelor’s degree preferred.
3 years of experience in a clinical practice required.
Surgical scheduling experience preferred.
Experience in a surgical office, such as OB/GYN or urology, preferred.
Must have excellent customer service skills in a high-pressure environment and the ability to interact with a wide variety of people at different levels required.
Must have excellent organizational abilities and computer skills.
Must have the ability to work independently and take initiative to improve overall office operations.
