Acts as a liaison between the patients, callers and physicians. Maintains and coordinates with other teams the doctors’ master calendar and the day-to-day operations and work flow within the doctors’ office. Works as part of the orthopedic support staff team and offers cross-coverage to other staff members as needed. Act as liaison between patient and physician, schedule all surgeries and pre-operative tests, pre-certifies all major diagnostic exams, physical and occupational therapy, durable medical equipment and counsel patients prior to surgery regarding financial responsibility.
Locate preoperative surgical paper work, insurance and demographic information in patient’s chart, then call patient to schedule procedure.
Provide all business and clinical paper work prior to surgery, using physician approved forms and checklists.
Schedule pre-operative and post-operative appointments for patients.
Order instruments/equipments for procedure and/or schedule ICU beds or private rooms.
Scan all pretesting results and medical clearance into CROWN for hospital pre-op chart review.
Obtains precertification/preauthorization from insurance companies prior to surgery for each procedure and test.
Verifies patient eligibility and coverage for the procedure; if patient is not eligible on date of service, or procedure is not a covered benefit, explains this to patients. Counsels patients pre-operatively regarding their potential financial obligations, and provides information about patient insurance coverage. Assists patients with setting up payment plans, and collects pre-surgical deposits.
Schedules operating room time, according to department guidelines and physician scheduling protocols. Schedules all appropriate pre-operative tests.
Reports changes in master schedules using the IDX Cancellation/Change distribution list.
Assists in the completion of reappointment paperwork and other similar paperwork, attaches all appropriate certificates, CME information, etc.
Updates doctors CVs. Ensures physician has all necessary licenses and certification and that they are up-to-date.
Prepares and submits doctors travel and expense reimbursement forms, with proper back-up documentation; submits for check requests and invoice payments.
High school diploma required/College degree preferred
Minimum three years of experience working in a physician practice
Computer literate, with keyboard knowledge of institutional used software packages
Experience in project-orientated position preferred
Knowledge of managed care and insurance plans
Ability to work with patients and make them feel comfortable
