Acts as a liaison between the patients/callers and physicians. Maintains and coordinates with other teams the doctors’ master calendar and the day-to-day operations and work flow within the doctors’ office. Coordinates the day to day administrative, and academic activities for the physician as assigned, including but not limited to manuscript and publication preparation, lectures and conferences, educational courses and visitors.
Arrange and coordinate meetings. Reports changes in master schedules using the IDX Cancellation/Change distribution list.
Ensures physician has all necessary licenses and certification and that they are up-to-date. Updates all manuscript and CV information.
Assists in the completion of managed care applications, reappointment paperwork and other similar paperwork, attaches all appropriate certificates, CME information, etc.
Calls in prescriptions and placed referral and radiology orders in CROWN at doctor’s direction following established protocols.
Performs full registration, insurance verification and schedules patient appointments as needed as back-up for appointment scheduling. Scans and indexes patient records into CROWN.
Assists in the completion of managed care applications, reappointment paper work and other similar paper work, attaches all appropriate certificates, CME information, etc.
Schedules and invoices attorneys’ offices for IME’s, depositions and other legal appointments.
Coordinates travel arrangements, including lodging, visas and passports. Prepares and submits physician’s travel and expense reimbursement forms, with proper back-up documentation; submits for check requests and invoice payments. Prepares and submits doctor’s travel and expense reimbursement forms, with proper back-up documentation; submits for check requests and invoice payments.
Provides full coverage for additional doctors’ offices during lunch, vacations, sick, etc.
High school diploma required/College degree preferred
Minimum one to two years of experience working in a physician practice
Computer literate, with keyboard knowledge of institutional used software packages
Experience in project-orientated position preferred
Knowledge of managed care and insurance plans
Ability to work with patients and make them feel comfortable
Ability to independently compose short letters
Neat, professional appearance
