In this role, the successful candidate will be responsible for providing administrative support for multiple care providers, including coordinating daily patient schedules, catering to patient administrative needs, triaging patient phone calls and messages, and streamlining the patient’s experience before, during and after appointments.
Maintain physician’s schedule as per office protocol and physician’s request.Verify patient appointments prior to visit.
Answer phones in a professional manner and with a customer service approach. Take accurate phone messages, triage and handle calls, and escalate urgent calls appropriately.
Document and track patient communications in the EMR system.
In IDX, using template provided, accurately register and schedule patients for appointments, record and verify their demographics and insurance data, update patient data as necessary.
Verify patients insurance using the MPV system.
Coordinate the scheduling of ancillary tests, office procedures and surgeries, including preparation of necessary paperwork and processing of all referrals and pre-certifications for surgery patients.
Ensure all pre-operative paperwork is complete, scanned and forwarded to the appropriate areas. Schedule surgeries and pre-operative testing in accordance with departmental, OR, and hospital policies, ensuring all information is accurate, physician preference are noted and within timeframe of patient pre-surgical testing.
Type correspondence, such as referring provider letters as needed. Complete and mail all disability forms for patients.
High School Diploma and at least three years of experience in a clinical practice required.
Bachelor’s degree preferred.
Must have excellent customer service skills in a high-pressure environment and the ability to interact with a wide variety of people at different levels required.
Must have excellent organizational abilities and computer skills.
Must have the ability to work independently and take initiative to improve overall office operations.
Experience in a surgical office, such as OB/GYN or Urology, preferred.
