The Administrative Assistant is responsible for answering phones, scheduling patient office visits, surgical scheduling and other ancillary testing as needed. He/She will be responsible for working closely with the surgeon and clinical team during outpatient office hours and perform check out functions. He/She will be responsible for maintaining the surgeon’s academic calendar and provide administrative support for meetings as needed. The assistant will ensure that all patients, visitors, guests and co-workers receive personalized, prompt attention and are treated with receptiveness, dignity and respect.
Provide support and back-up to practice manager for certain administrative responsibilites
Coordinate surgical and outpatient practice.
Ensure proper referrals and/or prior authorizations are in place for office appointments, radiology and surgery as needed. If not needed, then indicated in detail in IDX.
Mail new patient packet/paperwork to all patients prior to their appointment and ensure to collect and scan before the day of visit.
File and scan chart notes and other medical information in appropriate folder within CROWN SCAN.
Ensure that all patient visits have billing documentation that is submitted to the billing department, including but not limited to all relevant and accurate patient demographic and insurance information.
Work within Experian to ensure all patient insurance information is verified and entered into IDX appropriately.
Work closely with nursing team to ensure that all preoperative clearance and paperwork is obtained and scanned into CROWN prior to surgery.
3 years of experience in a clinical/practice setting
Associate’s degree (or equivalent combination of education and experience)
Ability to work in a team environment
Demonstrate articulate and professional communication
Conform to all applicable HIPAA, Billing compliance and safety guidelines
Extensive contact with patients, patient family members, medical staff, and other support staff
Knowledge/Training of CROWN, IDX, Webcis and OR Manager
